Job Purpose

The Repair & Maintenance Internal Assistant Manager is responsible for overseeing daily workshop and branch repair operations to ensure service quality, operational efficiency, and compliance with established SOPs and SLAs. This role focuses on optimizing operational performance through effective 4M (Man, Method, Machine, Material) management, maintaining fleet reliability, and driving continuous improvement across repair and maintenance functions.

Key Responsibilities

Operations & SOP Compliance

  • Supervise daily workshop and branch operations to ensure all repair and maintenance activities are executed in accordance with approved SOPs, SLAs, and quality standards.

  • Monitor service performance and ensure consistent implementation of operational procedures across all locations.

4M Optimization

  • Man:

    • Develop mechanic and Service Advisor (SA) capabilities through coaching, performance monitoring, and structured workload management.

    • Support performance evaluation processes to ensure productivity and service quality targets are met.

  • Method:

    • Review, refine, and standardize workflows, repair procedures, SOPs, and damage-handling standards to improve efficiency and consistency.

  • Machine:

    • Ensure the readiness, safety, and proper utilization of workshop tools, equipment, and facilities to support uninterrupted operations.

  • Material:

    • Ensure the availability, quality, and accurate usage of spare parts, aligned with repair needs and inventory controls.

Fleet Management & Performance Control

  • Monitor and control outstanding broken units to remain at or below 1% of total fleet size.

  • Track unit aging and prioritize repair activities based on damage severity, operational urgency, and business impact.

Escalation Handling & Aftersales Support

  • Coordinate the resolution of complex repair cases, including heavy damage, accidents, and insurance-related claims.

  • Manage technical complaints and oversee post-repair follow-ups to prevent repeat issues and re-broken units.

Coordination, Analytics & Continuous Improvement

  • Collaborate closely with the warehouse team on spare part planning, availability, and distribution.

  • Analyze operational and performance data, including MTTR, productivity, backlog, and repair turnaround time, to identify gaps and improvement opportunities.

  • Provide data-driven recommendations to enhance operational efficiency, service quality, and cost effectiveness.

Qualifications
  1. Minimum Diploma or Bachelor’s degree in Engineering (Automotive, Electrical, Mechanical, or other relevant disciplines). 
  2. 3–5 years of relevant experience in vehicle service and maintenance operations, preferably within fleet-based or multi-branch environments.
  3. Demonstrated experience in fleet management or large-scale workshop operations; background in rental, logistics, or electric vehicle (EV) industries is highly preferred.
  4. Strong understanding and practical application of 4M principles (Man, Method, Machine, Material) to drive operational efficiency and service quality.
  5. Proven capability in managing and monitoring Service Level Agreements (SLA) and Mean Time To Repair (MTTR) to meet operational targets.
  6. Solid experience in managing repair backlogs, monitoring broken unit aging, and prioritizing repairs based on operational impact.
  7. Strong analytical skills with the ability to interpret technical and operational data using Excel, ERP, or other operational systems.
  8. Excellent leadership, problem-solving, and communication skills, with the ability to coordinate effectively across teams and stakeholders.
