About the Role

At Electrum, our vehicle pools and service network are critical to ensuring reliable operations for our EV and battery-swapping ecosystem. We are looking for a Pool & 3rd Party Workshop Manager to oversee day-to-day operations across multiple vehicle pool locations and manage performance of third-party workshops supporting maintenance and repairs.

This role is responsible for ensuring fleet readiness, service quality, cost control, and operational consistency across all pool sites and external service partners. Your work will directly support tens of thousands of riders, improve the logistics and mobility landscape, and help accelerate Indonesia's EV transformation. You will work closely with Operations, Service, Quality, CX, and external vendors to ensure Electrum’s vehicles are available, reliable, and serviced to standard.

What You Will Do

Pool Operations & Multi-Location Management

  • Lead and manage all Pool operations across 5 Electrum-owned pools ensuring availability, readiness, and compliance with Electrum standards.
  • Lead regular cycle counts and quarterly stock opname across all pools and workshops.
  • Define and implement SOPs for all pool operations and workshops including vehicle allocation, maintenance scheduling, handover, and documentation.
  • Lead supervisors and on-ground staff to deliver smooth daily operations. 
  • Ensure consistent operational practices across all pool sites, including safety, cleanliness, and asset control.

Third-Party Workshop Management

  • Manage 35+ third-party workshops responsible for vehicle maintenance and repairs, including capacity planning, capability assessments, performance monitoring, and operational consistency. 
  • Define service standards, SLAs, pricing frameworks, and quality expectations with external partners.
  • Monitor workshop KPIs such as turnaround time, repeat repairs, cost per repair, and SLA compliance.
  • Conduct regular audits and performance reviews of third-party workshops.
  • Work closely with Quality Improvement and Service teams to address recurring issues and quality gaps.
  • Drive continuous improvement with partners through coaching, corrective actions, or partner optimization.

Maintenance, Quality & Cost Control

  • Ensure preventive and corrective maintenance activities are executed on time and to standard.
  • Ensure all vehicles, batteries, tools, and spareparts are accurately tracked with minimal untraceable items. 
  • Coordinate maintenance planning across pool locations and external workshops.
  • Monitor maintenance costs, repair trends, and vendor billing accuracy.
  • Identify opportunities to reduce downtime, repair cost, and repeat issues.
  • Escalate and resolve operational risks related to vehicle availability or service quality.

Cross-Functional Coordination

  • Collaborate with Operations, Service Advisors, Quality, CX, and Procurement teams to ensure smooth workflows.
  • Support CX teams in resolving customer-impacting issues related to vehicle availability or service delays.
  • Provide operational insights and reporting to leadership on pool performance and risks.

Reporting & Continuous Improvement

  • Track and report key metrics such as vehicle uptime, pool utilization, repair turnaround time, SLA compliance, and cost efficiency.
  • Implement data-driven monitoring dashboards (in collaboration with Data & Analytics). 
  • Lead root cause analysis for recurring operational or quality issues.
  • Propose and implement improvements to pool layout, workflows, partner management, and operational processes.

What You'll Bring

  • Bachelor’s degree in Engineering, Operations, Logistics, or a related field.
  • Minimum 5 years experience in automotive workshop operations, fleet management, or 3rd party workshop development (2 Wheeler or 4 Wheeler). 
  • Deep understanding of pool/workshop workflow, repair processes, and technician environment.
  • Strong experience managing 3rd party workshop performance
  • Strong skills in stock management, cycle count, inventory control, and loss prevention. 
  • Experience overseeing multiple operational locations simultaneously and leading frontline teams (supervisors, contract workers, mechanics, and inspectors). 
  • Solid understanding of vehicle maintenance, service workflows, and operational KPIs.
  • Strong analytical, problem-solving, and stakeholder management skills.
  • Ability to work hands-on in the fields (pools and workshops), not a desk-only manager. 

Nice to Have

  • Experience in EV, automotive, fleet, or mobility operations.
  • Familiarity with preventive maintenance programs and service quality frameworks.
  • Experience working with distributed operations or partner-heavy service models.
  • Exposure to cost optimization or vendor negotiation.
